A scheduled meeting of the University Administration took place at Luhansk Taras Shevchenko National University.
The issue of the state and problems of organization of document circulation and archive business at the University was considered on the agenda. The report was made by D.S. Sharay and V.O. Nikitenko.
Having heard and discussed the reports of the head of the Department of Document Management and the head of the Personnel Department, the University Administration noted that the document circulation at the University is organized in two planes – vertical, which consists in moving documents between subordinate structures, and horizontal, which involves correspondence between structural subdivisions of the same level.
The Department of Document Management receive and register all external documents arriving at the University on a mandatory basis.
During the time after the relocation, the university archive resumed its work. In particular, in 2016, the nomenclature was developed and approved for the installation of a unified procedure for the formation of cases at the university, ensuring their recording, prompt search of documents for their content and type, determining the periods of storage of cases, which is the basis for compiling cases of permanent and long-term (over 10 years) of storage, as well as to record cases of temporary (up to 10 years inclusive) storage. The nomenclature of university affairs was approved by the university commission to assess the value of documents, agreed by the expert-verifying commission of the state archive of the Luhansk region and approved by the Rector of the University. In 2017, the Department of Document Management made an inventory of the affairs of the University of permanent and personnel storage.
At the same time, there are problems in organizing the document circulation of the university, among which is the late submission of applications and reports to prepare orders and shortcomings in the formation of cases of students who have completed their studies or were expelled.
